CHECK IN TIME/ CHECK OUT TIME
Check-in is after 3:00pm. Check-out is by 10:00am. During peak periods, lodging may not be available until
after 6:00pm.
MEETING FACILITIES
Meeting space is assigned based upon written request, availability, group size and needs. You will need to
complete the Meeting Room Request form in the Planning Guide. Specific space cannot be guaranteed. You will
be notified in advance if it is necessary to share meeting space with another group. Please do not publish or refer
to specific assignments before consulting with the Conference Department. Your group’s specific needs, meeting
room layout, set-up and tear-down will be arranged with the Conference Office.
RATES FOR OFF-GROUNDS GUESTS (DAILY MEMBERSHIP FEE)
If the Group’s events are open to the general public or if participants of the Group’s event will be staying in
accommodations other than those provided by the YMCA of the Rockies, the Group will be charged a fee of $15
per person per day for all off-grounds guests. The YMCA and the Group will define a method for calculating
this fee no less than 30 days prior to the first day of the event, and the Group leader will be notified of the total
off-ground guest fee prior to posting to the master account.The off-grounds user’s fee is simply a daily membership fee required by the YMCA of the Rockies. This fee
allows participants to use the services and facilities normally available to all members and guests of the YMCA
of the Rockies.All charges are subject to applicable taxes and fees. If your Group is a tax exempt organization and the
master account will be paying for the rooms and the Group is not being reimbursed by the individuals,
you will need to complete the affidavit from the Planning Guide in order to be exempted from sales
taxes.
PETS
Pets are not allowed in the lodges or the group cabins.
QUIET HOURS
Quiet hours are from 11:00pm until 7:00am
ALCOHOL
Alcoholic beverages are not sold on the grounds of the YMCA of the Rockies. However, guests may consume
alcohol in the privacy of their room, cabin, and/or group function space so long as that consumption is not visible
or apparent to other guests. All consumption of alcohol must be in accordance with Colorado law. The guest of
record will assume responsibility for compliance with the law.The YMCA of the Rockies will not assume any liability for consequences resulting from the distribution or
consumption of alcohol on its grounds. That liability will remain with the guest or group leader in whose name
the lodging or function space is registered. Additionally, the YMCA of the Rockies maintains a zero-tolerance
stance with regards to this policy and reserves the right to terminate a function anytime the policy is not followed.
ROOMING LIST
Please complete the rooming list in the planning guide before check-in. Keys will not be distributed until receipt
of this form.
PAYMENT POLICIES
Full Payment is due upon departure. Unpaid balances will be charged an additional 1.5% monthly finance
charge, and may be sent to a collection agency after 60 days. The group will be responsible for all collection fees
and expenses in addition to the monthly finance charge.
We accept Visa, MasterCard, Discover, American Express, personal checks and cash.
